How Digital Badges Work for Professional Certifications

Follow a certification badge from issue to claim to share — the metadata inside it, where it lives, and how to keep it current when your cert renews.

A few days after you pass a certification exam, an email usually lands with a subject line like "You've earned a badge". Clicking it is the start of a short chain of events: the certification body has told a badge platform to issue you a credential, the platform is waiting for you to claim it, and once you do, you control where that badge appears and who can check it. This article walks through that chain end to end — issuing, claiming, what actually sits inside the badge file, where it lives afterwards, and how to share it without it going stale.

Step 1: The issuer creates the badge — you don't

The first thing to understand is the direction of travel. You never make your own badge. The certification body (CompTIA, Microsoft, AWS, ISACA and most other major providers) is the issuer: after your pass is recorded in its candidate system, it instructs a badge platform to mint a badge in your name. Credly is the platform most large IT certification bodies use, though some providers run their own systems or use alternatives — the email you receive will name the platform.

Because the issuer creates the badge, the issuer also controls it. That matters later: the provider can update the badge design, mark it expired when your certification lapses, or revoke it entirely if a certification is withdrawn. A badge is not a static image you own; it is a live pointer into the issuer's records.

Timing varies by provider. Some badges arrive within hours of a pass; others take days, because the badge is only triggered once your certification itself is formally granted — and for some credentials that involves application review, not just an exam result. If nothing arrives, check the spam folder first, then confirm which email address the provider has on file for your candidate account, because the badge invitation goes there and nowhere else.

Step 2: Claiming the badge

The invitation email contains a claim link. Following it, you either sign in to an existing account on the badge platform or create one. Two details trip people up here:

  1. The account email must match, or be linked to, the email the issuer used. If your certification account uses a work address and your badge platform account uses a personal one, add the second address to your platform profile so future badges from any issuer land in the same place. Changing jobs is the classic failure mode — badges sent to a dead corporate inbox are the most common reason a credential appears "missing".
  2. Claiming is a deliberate acceptance step. Nothing is published until you accept the badge, and most platforms then let you choose whether the badge is public or private. An unclaimed badge simply sits pending; issuers generally allow you to claim it later, though it is sensible to do it promptly while the invitation link is fresh.

Once claimed, the badge appears in your profile — sometimes called a badge wallet — alongside any other credentials you have accepted from any issuer on that platform. This is the single-wardrobe benefit: one profile URL that holds your CompTIA, Microsoft and vendor-neutral badges together, even though different organisations issued them.

Step 3: What's inside the badge — the metadata layer

Visually, a badge is a small image. Functionally, the image is the least important part. Under the Open Badges standard — the specification most certification badges follow — a badge carries structured metadata describing:

  • Who earned it: your identity, as recorded by the issuer.
  • Who issued it: the certification body, not the platform hosting it.
  • What it represents: the credential name, a description, and typically the skills or exam objectives it maps to.
  • When it was issued, and — where the underlying certification expires — when it expires.
  • How to verify it: a link back to a live verification record.

This metadata is why a badge behaves differently from a screenshot of a certificate. Anyone who clicks through sees a verification page served by the platform, confirming the badge is genuine, current and really yours. How employers and recruiters use that check is a topic of its own; the short version is that the click-through replaces "please post us a notarised copy". The skill tags in the metadata also make badges searchable — recruiters filtering a platform or LinkedIn by a skill can surface your credential without you doing anything.

The practical consequence for you: never share the bare image file. An image carries none of the metadata. Share the badge's URL (or use the platform's built-in share buttons, which do this for you), so the verification layer travels with it.

Step 4: Hosting — where the badge lives

After claiming, the badge is hosted on the platform, attached to your profile. Three hosting behaviours are worth knowing:

Visibility settings. Each badge can usually be public (anyone with the link, and search engines, can see it) or private (visible only to you). Public is the default worth choosing for professional certifications — a private badge defeats the purpose — but the control exists if, say, you don't want a in-progress credential path visible yet.

The badge tracks the certification's status. Because most IT certifications run on fixed validity cycles — three years at CompTIA, AWS, Cisco, ISACA, PMI and ISC2; twelve months for Microsoft role-based certifications — the badge inherits an expiry date. When you renew or recertify, the issuer updates or reissues the badge; when you let the certification lapse, the badge shows as expired on its verification page. You can usually download a portable copy. Open Badges supports "baking" the metadata into a downloadable image so the credential isn't locked to one platform. It's a reasonable backup habit, but the live hosted version remains the one that verifies in real time — a baked copy of a since-expired badge will not fool a verification check, and shouldn't.

Step 5: Sharing the badge where it earns its keep

Sharing is the payoff step, and platforms make it a one-click affair. The high-value destinations, roughly in order:

  1. LinkedIn — Licenses & Certifications section. The platform's share flow pre-fills the credential name, issuer, issue date, expiry and credential URL. This is the permanent, structured placement; a feed post announcing the badge is optional garnish that fades in a day.
  2. Your email signature. A small badge image linked to the verification URL is a quiet, persistent signal in every message you send — particularly useful for consultants and client-facing roles.
  3. CV or portfolio site. On paper CVs, print the credential name and add the verification URL; on personal sites, embed the badge image linked to the live record.
  4. Employer skills systems. Some organisations ingest badge data into internal skills inventories; if yours does, HR will tell you where to connect your profile.

One discipline keeps all of this trustworthy: every placement should link to the live verification page, so each copy stays a pointer to a single source of truth rather than a claim frozen in time.

Common mistakes with a first badge

  • Claiming with a work email, then leaving the company. Add a personal email to your platform account today; make it the account you'd still control after any job change.
  • Sharing the image, not the link. The image is decoration; the URL is the credential.
  • Letting the badge expire silently. The badge won't nag you loudly. Track renewal deadlines yourself — a system for keeping certifications current matters more once you hold several badges with different cycles.

  • Scattering credentials across platforms and inboxes. Consolidate: one platform profile, one personal email, every issuer pointed at it.

From pass to badge: the whole chain in one view

Pulling the steps together: you pass an exam → the provider records the certification → the provider instructs its badge platform to issue a badge → you claim it into your wallet → the badge's metadata makes it verifiable and searchable → you share the URL where it counts → the issuer keeps the badge's status in sync with your certification, including expiry. Your only recurring job is the last link in the chain — renew the underlying certification on time, and the badge takes care of itself.
